This guide breaks down the real cost of setting up ID card printing in South Africa, so you can budget accurately and avoid surprises. Every setup is made up of the same parts:

What the printer costs

Fargo printers span a wide range depending on speed, capacity and print technology:

  • Entry level direct to card, ideal for small offices and schools: the HID Fargo DTC1250e starts around R21 390 single sided.

Ongoing cost, the cost per card

The recurring spend is ribbons and cards. The key number is your cost per card, which depends on the ribbon yield and the card type. A full colour YMCKO ribbon rated for, say, 250 prints, divided across those cards, gives your ribbon cost per card. Add the price of a blank card, and that is roughly your running cost per credential. Higher yield ribbons and resin black ribbons for text only cards bring this down. Software and encoding

For simple badges, entry level card design software is inexpensive or bundled. For databases, photo capture and multi user management, expect to budget for a card management package. If your cards need to open doors or tap to pay, add encoding, which is usually a module priced on top of the base printer.

Worked examples

  • Small office, a few hundred staff badges a year: an entry level DTC printer, YMCKO ribbons, PVC cards and basic software. The lowest total cost of ownership.
  • School or college, regular intakes: a mid range or high capacity DTC printer with dual hoppers to reduce reloading, plus higher yield ribbons.

Buy once, buy right
